Cancellation and Refund Policy

At Kili Peacock Adventures, we understand that travel plans can change unexpectedly. Our Cancellation and Refund Policy is designed to provide clarity and flexibility for our clients.

  1. Cancellation Policy
  • More than 31 Days Before Departure: If you cancel your booking 31 days or more before your tour or service is scheduled to begin, you will receive a full refund of the amount paid.
  • 22 to 30 Days Before Departure: Cancellations made between 22 and 30 days before the tour or service begins will receive a 70% refund. This means we will return 70% of the amount you paid, while the remaining 30% will be retained to cover administrative and booking fees.
  • 11 to 21 Days Before Departure: If you cancel your booking between 11 and 21 days before the tour or service starts, you will receive a 50% refund. This means half of the total amount you paid will be refunded, and the other half will be retained by us to cover costs associated with the booking.
  • 1 to 10 Days Before Departure: Cancellations made within 1 to 10 days of the tour or service start date are non-refundable. This means we are unable to provide a refund, as preparations for your tour are already in full motion and significant costs have been incurred.
  1. Refund Process
  • Request Submission: To initiate a cancellation, please send an email with your personal details and reservation number to info@kilipeacockadventures.com. We will confirm your cancellation within 48 hours.
  • Processing Time: Approved refunds are processed within 14 days to the original payment method.
  • Administrative Fees: Please note that as part of our refund process, there will be deductions to cover the costs associated with receiving and sending the refund, as well as applicable office charges. These deductions will amount to $50 USD per refund for each $1,000 USD refunded. This ensures that the necessary administrative and transactional expenses are covered, allowing for a smooth and efficient refund procedure.
  1. Important Considerations
  • Notification: The day of notification and the scheduled departure day are not counted in the cancellation periods.
  • Method of Cancellation: Cancellations must be made directly via email; verbal or voicemail requests are not acknowledged.
  • Travel Insurance: We highly recommend purchasing travel insurance to cover unforeseen circumstances that may lead to cancellations.

Amendment Policy

At Kili Peacock Adventures, we understand that travel plans may require adjustments. Our Amendment Policy is designed to accommodate changes while ensuring a seamless experience for all parties involved.

  1. Amendment Requests
  • Submission: All amendment requests should be submitted in writing via email to info@kilipeacockadventures.com. This ensures clear communication and proper documentation of your desired changes.
  • Timeframe: Amendment requests should be made at least 30 days prior to the scheduled departure date. Requests made within 30 days of departure will be considered but cannot be guaranteed and may be subject to additional fees.
  1. Amendment Fees
  • Standard Amendments: A handling fee of $70 USD per booking will apply to amendments such as changes in departure dates, accommodations, number of participants, or other itinerary modifications. This fee is in addition to any charges imposed by service providers.
  • Service Provider Fees: Any additional costs resulting from amendments, such as differences in accommodation rates or transportation costs, will be the responsibility of the client.
  1. Limitations
  • Availability: All amendments are subject to availability. While we strive to accommodate your requests, certain changes may not be possible due to availability constraints with our service providers.
  • Multiple Amendments: Multiple amendment requests may incur additional handling fees. Each request will be assessed individually, and associated costs will be communicated to you promptly.
  1. Important Considerations
  • Impact on Itinerary: Please be aware that amendments may affect other components of your itinerary. We will inform you of any such implications during the amendment process.
  • Unavoidable Changes: In rare instances, Kili Peacock Adventures may need to make changes to your itinerary due to unforeseen circumstances. In such cases, we will provide suitable alternatives of equal or higher value.
